Change the user’s password

Sign out of any apps or devices

Export the user data: https://admin.google.com/ac/customertakeout

Optional: archive the user’s emails with GYB: https://github.com/GAM-team/got-your-back

Ensure someone has delegate access to the user’s inbox, and has been told to watch it. 

Remove the user from all groups. . 

Rename the user’s account to “[user]_legacy”

Create a new group with the same name as the user’s original account name; add the user’s manager and members of their team (if relevant)

Suspend the original user account for 30 days before deleting

Remove the user’s license and amend our subscription if necessary. Change their password, but don’t delete the account until all current jobs have completed or been transferred.

Transfer any current jobs to another user.

Save a copy of the user’s Home folder (/Users/[user] for macOS or C:\Users\[user] for Windows) to the Archive drive on Google Drive. 

Export each chat on the phone, including media, to Google Drive. Archive accordingly.
